Мистецтво телефонного спілкування: Центром правничої лінгвістики Вищої школи адвокатури організовано тематичний workshop для адвокатів

У Вищій Школі Адвокатури НААУ відбувся workshop за напрямком підготовки правників Legal English:«Telephoning. 7 Steps to Successful Phone Calls. Must-know Phone English skills» із курсу «Legal DocumenTs, Correspondence and CommUnication», який провела Людмила Колодник, керівниця Центру правничої лінгвістики ВША НААУ, юрист, філолог, викладач спеціалізованого курсу «Legal English».

Захід розпочався вже традиційно з дискусії про важливість та актуальність ведення телефонних переговорів правником. Керівниця Центру правничої лінгвістики ВША НААУ запропонувала слухачам обговорити думку автора WilliamHazlitt: Theartofconversationistheartofhearingaswellasofbeingheard Крім цього, Людмила Колодник зазначила, що мистецтво телефонної розмови полягає в тому, щоб максимально швидко з’ясувати, що вам потрібно і отримати відповідь, без зайвої «води».

Після жвавої дискусії Людмила Колодник ознайомила слухачів із тематичним вокабуляром, під час якого лектор сфокусувала увагу на основних поняттях, дотичних до теми заходу:

  • Telephoning
  • Caller
  • Receiver or call recipient

Наступним етапом workshop було обговорення сталих виразів, які зазвичай використовуються в телефонних розмовах, а саме

  • Hold on means ‘wait’ – and hang on means ‘wait’ too.
  • Hang up means ‘finish the call by breaking the connection’ – in other words: ‘put the phone down.’
  • Another phrasal verb with the same meaning as hang up is ring off.  The opposite of hang up / ring off is ring up – if you ring somebody up, you make a phone call. 
  • And if you pick up the phone, (or pick the phone up) you answer a call when the phone rings.
  • “Hang on a second…” If you are talking to a receptionist, secretary or switchboard operator, they may ask you to hang on while they put you through – put through means to connect your call to another telephone. With this verb, the object (you, me, him, her etc.) goes in the middle of the verb: put you through
  • But if you can’t get through to (contact on the phone) the person you want to talk to, you might be able to leave a message asking them to call you back.
  • Call back means to return a phone call – and if you use an object (you, me, him, her etc.), it goes in the middle of the verb: call you back.

Визначаючи мету та структуру телефонної розмови, керівниця Центру правничої лінгвістики ВША НААУ зазначила, що співрозмовники телефонної розмови повинні уявляти складність обговорюваного питання і те, скільки часу така розмова може тривати. Зокрема, у середньому проста телефонна бесіда, метою якої є обмін інформацією, має тривати не більше 1,5 хвилини. Бесіда, метою якої є розв’язання проблеми, — не більше 3 хвилин. Час для ділового дзвінка — з 9.00 до 21.00, якщо не було інших домовленостей. Допустимі плюс-мінус 1 годину за умови термінового розмови.

Продовжуючи workshop за напрямком підготовки правників Legal English: «Telephoning. 7 Steps to Successful Phone Calls. Must-know Phone English skills», Людмила Колодник підкреслила, що необхідно мати план розмови. Не варто набирати номер телефону, якщо ви не знаєте, що саме і кому ви хочете повідомити. Слід чітко визначити мету дзвінка. Важливо позначити, які питання ви збираєтеся задати співрозмовнику і продумати відповіді на питанняякі можуть бути задані вам.

Говорячи про 7 етапів телефонної розмови, Людмила Колодник навела цікавий та водночас простий приклад:

  • П 1 — Привітання.
  • П 2 — Представлення.
  • П 3 — Причина (пояснення мети дзвінка).
  • П 4 — Проблема (обговорення питання).
  • П 5 — Підбиття підсумків обговорення.
  • П 6 — Подяка (висловлювання вдячності).
  • П 7 — Прощання.

Серед помилок, які допускають правники під час телефонної розмови, лектор виокремила наступні:

  • Неуважність.
  • Велика кількість питань. 
  • Довга пауза. 
  • Звичка перебивати інших. 
  • Монотонність мови. 

Далі Людмила Колодник надала наступна пораду, що when making outbound calls, say “Hello” and introduce yourself to the person on the other end of the line. To follow professional phone etiquette, start with your first name as well as your last name, title or company’s name if required. For example: Hello. My name is Brian, and I’m calling from [Company’s name]. It is polite to start a conversation with small talk, especially if you know the person well. But don’t be too chatty. Remember that you have limited time on the call, so stay focused on the specific purpose of the conversation and get right to the point. If you don’t know the person, exchange pleasantries like a brief “How are you today?” or “I hope you’re doing well today.”

Тема етикету телефонної розмови стала однією з обговорюваних поміж учасниками workshop. Людмила Колодник проговорила основні правила телефонного етикету, а саме:

  • Always Speak Clearly
  • Don’t Use Slang
  • Never Eat Or Drink
  • Always Listen
  • Use Proper Titles. When speaking to someone on the phone, especially if they are not someone you know, it is important to use the proper title when addressing the person. For instance, Mrs., Mr., Dr., etc. are appropriate. You never want to address a caller by their first name unless you have been given permission to do so.
  • Have Patience
  • Focus on the Task at Hand.
  • Ask Permission Before Placing a Call on Hold.

Наступним кроком стало обговорення технік активного слухання під час телефонної розмови між правником та клієнтом: Activelisteningstrategiescanhelpyoutocommunicatemoreeffectivelyonthetelephone.

  • When listening, say words like right, uh huh, got you, yeah every few seconds to show that you are paying attention.
  • The other person feels more relaxed because it’s clear that you are there and actively listening to them.
  • Check each piece of information that the other person gives you – even if you think you have understood everything perfectly, you might have actually misunderstood something the other person said.
  • Echoing, in other words by repeating what the other person said, to make sure you understood correctly: A We can deliver on Tuesday. B Tuesday. Right.
  • Askingforclarification: A Ouraddressis 40 George 5 feet. B Sorry, didyousay 40 or 14?

Людмила Колодник під час workshop звернула увагу адвокатської спільноти на officialEnglishspellingalphabet та зазначила наступне: «Although there is an official English spelling alphabet (developed by NATO and used by the military and by radio operators), most English speakers do not know it. Instead, they use common words or personal names to spell words. For example, to spell NATO, an English speaker might say: That’s N for Neil, A for apple, T for Thomas, 0 for orange. Notice that in English we say N for Neil or N as in Neil (AE), not N like Neil».

Очільниця Центру правничої лінгвістики ВША НААУ Людмила Колодник завершила workshop «Telephoning. 7 Steps to Successful Phone Calls. Must-know Phone English skills»порадами як змусити співрозмовника говорити по телефону повільно та зауважила наступне:Herearesometacticsyoucanusetomakepeoplespeakmoreslowlyonthetelephone:

  • Immediately ask the person to speak more slowly.
  • When repeat each piece of information as the person speaks note of a name or important information. By repeating each important piece of information or each number or letter as they spell or give you a telephone number you automatically slow the speaker down.
  • If you have not understood, do not be afraid to say so. Ask the person to repeat until you have understood.
  • If the person does not slow down, begin speaking your own language! A sentence or two of another language spoken quickly will remind the person how lucky they are that they do not need to speak a foreign language to communicate. Used carefully, this exercise in humbling the other speaker can be very effective.
